Employee or Relative Death Announcement Letter

No one wants to hear the news that his family member or friend had passed away. It is also difficult to the boss and the company management to handle a deceased employee or a mourning employee over the death of his loved one. That is why death announcements are posted on their billboards; to let other employees and employers have sympathy for the grieving family.

A death announcement of a company is a sensitive company announcement. They request other officemates to understand the grieving family and have some time to visit them. Sometimes, donations are requested to help the family but it is not compulsory.

The tone of a death announcement letter has to be solemn yet positive. It has to state full details like the name of the decreased, the relation to the employer, the time and date of departure, the time and date of the memorial service, and if donations are needed or not. You can also put encouraging words to help the employer cope with the present situation and encouraging others to support him.

If the deceased is an employer, the harder it is for the employees. The statement has to be short and understandable with the picture of the employer attached. You can also put the address of the memorial service and the achievements of the employee in the company like the Top Employee Award. There is no need to write redundant sentences in these letters.

Family Member Death Announcement Letter

Losing someone in the family is hard, especially if you know that he/she is about to die. It is even sadder if you need to tell relatives who live far away about the news. A less painful way to do this is by sending them a death announcement

letter.

A death announcement letter is a personal letter telling the sad news about a family member who passed away. It is easily written since you don’t have to pick up the phone and bring yourself to tears every time you say it. Usually, long distance relatives are informed in this way.

Writing a death announcement letter of a family member should be personal, unlike in an obituary. You need to give the basic information like when your family member died, what is the cause of his death, and where and when will the funeral services be held to let the recipient know.

You may also ask him to rush and go to the mortuary or send funeral donations if he cannot come. The tone of the letter must be entirely solemn; otherwise your relative will be angry at you for being impassive.

Announcement Letter of Death in Family for Obituary

Losing someone in your family is painful. It hurts and you must deal with it for months, or even years. The last thing that you can do for that family member is to write an obituary for him.

An obituary is a public announcement about a death of a person. It is a perfect chance to tell to the world the achievements of that person during his life time. It is a good announcement to make that will reach other family members and friends of the deceased. To pay homage and an invitation to come to the funeral and memorial ceremony.

Some newspapers publish short obituaries for free. When writing an obituary, you must include a picture of the deceased, his full name, age when he died, the date and time of his departure, the immediate survivors like children, spouse or grandchildren and sometimes that cause of his death. Also include where, when and what time the funeral and memorial service will take place. If you are writing paid obituaries then you must include the background of the deceased such as his previous work, organizations he joined and his achievements.

Announcement Letter of Birth or Adoption of a Baby

Having a baby is truly a wonderful gift, whether he/she is of your own blood or not. You as a parent must be prepared for the sleepless nights, but it is all worth it when you see your baby smile. Before the parents become too busy attending to their

baby, it is great to celebrate his/her arrival. Have plans for your baby arrival party and send a baby announcement letter to your relatives and friends.

A baby announcement letter is a simple invitation to celebrate and see the baby for the first time. It is also a great way to say thank you to your friends who supported you especially for the ones who decided for an adoption. You can invite your closest friends and relatives to see your marvelous joy.

Writing a baby announcement letter is not that hard. You must keep the letter straight to the point and simple. State clearly the date and time of the party as well as the location if it is being held on a place other than your home. Include the baby’s name, length and width, date of birth and date of arrival if adopted, or baby picture if there’s any.

You can also put the names of the grandparents, siblings, and biological mother’s name if applicable. You can also put your personal message and baby passages, but don’t overdo it. Better send the letters two weeks before the party date. Never send these if the mother’s still pregnant or you might need to reschedule the party if it is born too early or too soon.

Complaint Letter on Receiving Damaged Goods

Writing a complaint letter for receiving damaged goods that has been paid for requires tact and firmness. This type of letter is normally addressed to the head of customer service or manager if the product or service was purchased from a big company. Some letters may rant emotionally about poor service or product flaws, which should not be the case. An objective approach is better. Complete information (including date of purchase, which specific store branch/location the product was bought from, the model and name of the item) must be provided in the letter along with the complainant’s contact telephone numbers and address.

A photocopy of the receipt may be attached. The official receipt may be presented later on when the customer is requested to personally drop by the office of the company where the merchandise came from. The letter of complaint about a faulty product or inferior service must mention the problem clearly, and skip irrelevant details. Such a letter aims to get a replacement item or a refund. In some instances, an apology is in order. Here’s a sample complaint letter on receiving damaged goods:

Letter to Confirm Authorization

There are times when you can’t attend to your formal commitments personally. There may be different factors such as an illness, being on a vacation, or having moved to another address. In this case, you must give authorization to someone you know to attend these personal matters. However, there are many people who would pretend to be someone you know to get these important documents and payments. That is why you have to confirm that you have given authorization to someone through a formal letter.

A Letter to Confirm Authorization is used as proof that you authorize the person to act on your behalf. This letter will not break easily especially if you have placed your signature, or attached a photocopy of you and the person’s ID as a proof of relationship. You should be formal and brief when writing this letter.

It must include the reason why you cannot attend personally, name of the authorized person, your relationship, the work to be done, and your contact information in case they have further questions. You can also state the validity of the letter if necessary.

This letter should be written in a complimentary tone and positive. It is a letter more than thanking the person for the suggestion that was given to you: it is a letter that you have plans of implementing it.

1) Show how you appreciate the suggestion.

Sample sentences:

Mary and I carefully studied your suggestion and we have decided that we will include your suggestion in our operations manual for the betterment of our services.

2) Explain in your letter how you plan to take action with the given suggestion.

Sample statements:
I have raised during the meeting with the President your suggestions and concerns. After he reviewed the matter, we will let you know for the decision.

I have asked Jane Smith to directly look into this matter. Kindly expect a call from her anytime this week.

We will discuss in our next meeting your ideas and we will see what we can do to incorporate your concerns with the existing system. We will let you know for updates.

3) State in your letter the benefits that you will get from the action.

According to the Accounting department, the revenue will be increased by 25% if we implement the suggestion of the Marketing department.

We think that it would be a great idea to boost the morale of the employees.

The suggested procedure by one of our customers will be of great help to efficiently do the job of our sales clerk.

4) Close your letter expressing your appreciation.

Letter to Confirm a Request of Authorization

Sometimes, your boss might ask you to work on his personal assets including bank accounts and properties. This may be a good time to impress to your boss, but it is also improper to proceed with your work.

To make sure that you are doing something legal for your boss, write a formal letter for a request confirmation of an authorization to take action.

Writing for a Confirmation Request is a must especially if your boss didn’t put your authorization on a piece of paper. It will be a proof that you have gained an authorization from your boss. If you tried to get your work done on a bank without it, the bank management will not allow you just because you might be a thief.

It also saves time by just letting your boss sign on the papers rather than making another letter to confirm authorization. Keep in mind that the letter must be straight forward and accurate based on what your boss asked you to do.
