Dear Sir,

I like you to pay attention to my tax record for the year 2009-2010. There have been many mistakes that I would like for you to act upon. First, the tax returns didn’t list me as a single father.

Second, my annual salary is $12500 and not $15200. Lastly, there are also other miscellaneous taxes that I was not even qualified for. According to my calculations, I should be paying less that what is stated on my tax returns.

Attached with this letter are the copies of important documents including my son’s birth certificate and my employment certificate. My tax number is 463-296-3458. Please look upon my older forms and act fast so that I can pay my taxes right on schedule. If you have other inquiries, please contact me at SheldonStone@radiomonthly.com or at 602-551-1425.

I hope to hear from you soon.

Truly yours,

Change of Address Announcement Letter

In some point in our lives, we move to another place. There are different factors affecting our address change, whether you are moving with your spouse together, your company designated you to a different location, or just for having a new location to live in. You must inform others about your moving by sending them a change of address letter.

A change of address letter is a written statement about your moving. It is essential to send these notices to your bosses, customers or your landlady. You can also send this to your immediate friends or relatives so that you can still keep on touch with them.

You must put your change of address letter in a clean sheet of paper or send them through email. There are some post offices who offer speed mailing, so use it if you need to send it quickly. It might take some time to make personal letters at once, so it is best to make your letters in general.

Writing a change of address letter has to be very short, simple and clear. It must also be very informative to avoid further questions in the future. If you are sending this to your boss or company, it has to be formal. For sending it with your friends, you can make it informal and make it an invitational home warming letter to make it more memorable.

Also attach a map or picture of your house so that others could go to your house easily. You must also include your phone, email address or name if it is also changed. You can send it three weeks in advance or on the exact date of your departure.

Letter to Confirm Guest Attendance at a Conference

To enlighten and ease any uncertainties or reservations a guest may have about an upcoming event he or she is invited to, this letter of confirmation of a guest’s attendance at a conference or symposium is an opportunity to give to the guest peace of mind.

In this letter, it should mention the important details of the event: venue, date, the purpose of the gathering, and the benefits from the event, to avoid unnecessary complications.

There are many ways to confirm, such as texting or calling the host/guest, but writing a letter is best practice.

This type of correspondence should be direct and business-like.

However, if there is a personal encounter with the guest prior to the event, putting a personal tone in the letter may help in getting a positive response.

Broken or Postponed Engagement Announcement Letter

Breaking an engagement is a difficult emotional decision. But it is much harder to break the news to your relatives and friends who have received an invitation. Giving broken or postponed engagement letters to the people who must be informed is proper.

Broken engagements or calling the wedding off letter is important to let your friends and relatives know that the expected occasion will not happen as scheduled. Some people must be immediately informed such as the parents of the couple, the church minister or wedding official, the venue for the event to take place, the caterers, the florists, the musicians, the photographers, and the close relatives and friends.

When writing a broken engagement letter, you must make the statement very short and clear. There are no explanations needed about why the engagement or wedding is called off or it might turn into the gossip of the town. Pass the letter along discreetly with the relatives and close friends and let them inform the others.

If a person you know is not invited to the event, then it is not necessary to inform them. In case that the engagement is called off days before the wedding, the family must act fast in order to save face and gather what is left of the wedding expenses. It is also a good way to let others cancel a flight and continue their jobs.

In some cases, the engagement or wedding is called off because a family member has died. In this case, state the reason for proponing the event, and place a new date and location for the even if available. If there is no schedule yet, just state that the engagement party or wedding will take place anytime soon.

Announcement Letter of an Engagement

Making an announcement through a letter is not as easy as telling it face-to-face. A written document is subject to different interpretations. When you write an announcement, be concise and straightforward in order for your readers to receive the information quickly and understand it clearly. Keep it short and simple. Make sure that you write something inviting and not just for the sake of announcing the occasion.

Utilize the letter for your advantage. If you are writing a personal announcement take the opportunity to ask the receiver how they are doing and to reconnect family relationships. Keep in mind as well that when you make an announcement, it should be complete. It would avoid too many questions addressed to you later.

One of the types of announcement is announcing an engagement through a personal letter. Writing a personal letter announcing your child’s engagement can be easily done. It would be a lot easier to disclose information because your readers are familiar with you as the writer and your child as the subject of the letter.

Divorce Announcement Letter

Divorce is a painful event for a couple, especially if they tired to keep the relationship working for years. The people who will hurt the most other than the couple are the immediate family. So it is best to write a divorce announcement letter to your family and closest friends.

A divorce announcement letter is an announcement letter that the married couple will no longer be together anymore. Writing a letter is much easier if the couple do not bring up the subject on the phone.

When you write a divorce announcement letter, it is best to keep it plain and easy to understand, without further explanations. Also state the date on where the divorce was granted. If the ex-wife changes her name back to her maiden name, state it to the letter.

If you are planning to file a divorce against your spouse, it is wiser to think about it and tell him first. Maybe your emotions are just high that leads to this decision. But if the two of you work things out, then there is no need for this letter. If you don’t get your relationship working, then it is the best time to take the necessary steps.

Inform your kids and parents in your home to tell them the news first hand. Never tell them one-by-one, or you might be surprised on how the news spread so easily. After that, you can send these to your immediate friends and let them spread the news.

Be discreet when using a social networking site or blog site, a change of status and a small statement will be enough to let anyone know. Telling how you hate your ex-spouse for leaving you can easily been read as hateful by everyone, including your kids. If you don’t want to hurt your kid’s or family’s feelings, just be quiet about it.

Letter to Complaint About Community Problems

Writing a letter to complain about the community, aims to spur government officials or public service agencies to action. There are occasions when citizens feel the need to bring problems to the immediate attention of community leaders. A complaint letter about community problems is a formal way to do it. This type of letter should clearly and concisely state details about the grievance or issue of public concern.

There is no need to beat around the bush nor use flowery words with this type of letter. Simply go straight to the point after the initial greeting and brief introduction of the problem. The letter-sender may begin by citing his/her particular community or residential area, and then cite the main point or the complaint itself. The letter-writer may then immediately indicate the proposed course of action or offer assistance.

Here is an example of a letter complaining to the chief of traffic in a bustling city.

December 2, 2010

MR. DAVID JONES
Traffic Chief
City Hall
New York, NY 10007

Re: rise in accidents from speeding vehicles in New York

Dear Officer Jones:

Along with other concerned citizens of New York City, I have observed that there is an urgent need to enforce a new speed limit in New York City. We have also noted the necessity of improving the traffic light system, particularly along Pennsylvania Avenue. It has come to the attention of residents in this area that the increase in vehicular accidents in said part of New York City has been due to speeding vehicles.

The fact that there are few traffic lights along Pennsylvania Avenue has also contributed to vehicular accidents.

We believe that these are pressing issues since public safety – both of individuals in our area as well as motorists — is at stake. We request for your immediate action on the matter.

Sincerely Yours,

Kevin Thomas

Complaint Letter on Poor Customer Service

A letter of complaint citing poor customer service implies that something has been done to create an air of discontent. It may be a discourteous staff member, or it may be an error in billing, or poor housekeeping services, or any customer concern which has not been properly addressed.

Whatever the factors that caused the customer dissatisfaction, the letter writer must make sure the complaint is valid before transmitting the correspondence to the proper person, usually the head of an establishment or customer service head.

A letter of complaint about poor customer service may be written in a polite and constructive manner, so that ultimately, the legitimate issues raised will be addressed and may result in better services for everybody. Here’s a sample letter complaining about poor customer service:

Ms. Marjorie Taylor
Guest Relations Manager
Sugar Beach Resort
Maui, Hawaii 98765

Dear Ms. Taylor:

My husband and I stayed at Sugar Beach Resort last November 20-21 and we thoroughly enjoyed the ambience, the clean surroundings, and complete resort amenities. It was everything we expected, except that we had an unpleasant encounter with one of your staff members.

While we acknowledge that it was a very busy weekend and the resort-hotel’s housekeeping staff was all doing their best, we had hope to experience good customer service. During the second day of our stay, we noticed that our room hadn’t been serviced even though we were gone the whole morning. We brought this to the attention of the housekeeping personnel and requested for some fresh towels. The housekeeping staff assigned to our area irritably said she will get to it, but the rest of the day went by and our room was not spruced up. Housekeeping did send up the towels but we were already packing to leave.

Please know that we would have loved to refer your resort to our friends, but there is clearly a need to improve the customer relations of your staff members. I hope you look into the matter and ensure it is not repeated.

Thank you & Sincerely,

Sophia Carter

Letter of Complaint on a Delayed Order

A letter of complaint for a delay in the arrival of goods ordered, or for a requested service to be provided, seeks not just an explanation but action. Complaint letters of this type looks for results while expressing disappointment and/or dissatisfaction.

It’s best to write in a clear and polite manner to receive the attention deserved or the desired action. A letter of complaint about a delayed order must be addressed to a senior manager of the company, such as the head of Customer Relations or Chief Executive Officer. In certain cases, like if you ordered merchandise online, you need to allow several weeks before lodging a formal complaint about delayed delivery.

A standard letter of complaint regarding a delay in the delivery of an order will usually require a follow-up call or email to inquire about reasons for the delay. Here is a sample letter of complaint about a delayed order:
